How to Swap or Trade a Shift in Smart Square HMH
Life happens on shift days. Smart Square lets you trade a shift with a colleague instead of losing it to a call-out — but a swap is a small chain of steps, and it is only finished when both schedules say so. Here is how the chain works, and where it usually breaks.
Swap, trade, giveaway — know which one you mean
- Swap: you and a specific colleague exchange shifts — they work yours, you work theirs.
- Trade / posted shift: you offer your shift up, and any eligible colleague can take it — closer to how open shifts work.
- Giveaway: a colleague takes your shift and you take nothing back. Not every department allows these — check before assuming.
Swapping a shift, step by step
- Find your partner first. Most successful swaps start with a conversation, not the app — agree the exchange with a colleague in your unit before touching Smart Square.
- Start the swap in Smart Square. Open your schedule (website or app), choose the shift, and offer it as a swap to your colleague — or post it for eligible colleagues to claim.
- Your colleague accepts. The swap now exists as a request; it is not finished.
- Manager approval, where required. Many departments approve swaps before they take effect — especially where the exchange changes hours, overtime or skill mix.
- Confirm both schedules. Your schedule should show their shift; theirs should show yours. Only then is the swap real.
The rule that protects you
Until the swap is approved and your schedule no longer shows the shift, it is still your shift. If your colleague agreed in the corridor but the request was never sent, accepted or approved, a no-show lands on you. Check your schedule the day before — every time, no exceptions — and chase the approval if it is still pending.
Why swaps get refused
- Different roles or units. Swaps generally need an eligible colleague — same role and department. A willing friend from another unit often cannot take your shift.
- Hours rules. The exchange would push someone into overtime limits or back-to-back patterns your department does not allow.
- Too late. Many departments set a cutoff for swap requests before the shift. Ask early; same-day swaps are the hardest to get approved.
- No partner, no swap. Posting a shift is not a guarantee anyone takes it. Until someone does, the shift — and the responsibility — stays yours.
Could not find a swap at all? The other levers are picking up different shifts to balance your hours, or requesting the day as time off instead. And if a swap is sitting unapproved while the date gets close, skip the app and talk to your manager — a conversation moves faster than a pending request.

Frequently asked questions
What is the difference between a swap and a trade in Smart Square?
A swap exchanges shifts with a specific colleague — they work yours, you work theirs. A trade posts your shift for any eligible colleague to take. A giveaway, where you take nothing back, is not allowed everywhere — check your department.
Does a shift swap need manager approval?
Often, yes — many departments approve swaps first, especially when hours, overtime or skill mix change. Until it is approved and your schedule updates, the shift is still yours.
My colleague agreed to swap but it is not showing — what now?
Walk the chain: was the swap started in Smart Square, did your colleague accept, is approval still pending? Check each step, and if the date is close, talk to your manager rather than waiting on a pending request.
Why was my swap refused?
Common reasons: the colleague is a different role or unit and not eligible, the exchange breaks hours or overtime rules, or the request came after your department's cutoff. Ask early to improve the odds.
Nobody took my posted shift — whose shift is it?
Yours. Posting a shift does not transfer responsibility until someone eligible takes it and any required approval lands. If no one does, you are still rostered for it.
